Overview
One workspace per account. Every part of it points at the same projects, clients, and money.
Projects and tasks
A project is the unit everything else hangs off. Tasks belong to a project and carry a status, priority, and due date. Invoices and receipts must be linked to a project, which is what makes per-project revenue and profitability numbers possible.
Archiving hides a project while keeping it restorable. Deleting moves it to Trash, where it can be recovered for 14 days before permanent removal.
Clients
Contacts hold the client relationship: company, role, email, tags, and a relationship level from 1 (new contact) to 5 (trusted partner). Linking a contact to a project routes that project's activity into the contact's timeline, alongside their documents and transactions.
The outreach queue surfaces contacts you have not spoken to in a while, ordered by relationship priority.
Documents
Three document types follow the usual commercial flow: quotation (QO), invoice (INV), and receipt (RC). You can also create any of them directly.
A document needs an issue date and at least one line item before it can be published. Drafts are private and editable; publishing produces the client-facing version and its PDF, and lets you share a secure public link or email it. The client does not need a MANA account to open it.
Thai VAT and withholding tax are handled on the document: the discount comes off before both are calculated, VAT is added to the total, and WHT is deducted from it to give the Amount Due.
Finance
Transactions record revenue and expenses, optionally tagged to a project and a wallet. A wallet represents where money moved, such as a bank account, card, cash, PromptPay, or platform balance. It is for organisation only; MANA does not connect to the provider for a live balance.
Linking a revenue transaction to a published invoice reconciles it: the document is marked paid using the transaction date. A mismatch against Amount Due raises a warning but still saves the link.
Storage
Files live in folders and can be linked to a project, contact, transaction, or task. Storage depends on the plan: Free 1 GB, Mana 10 GB, and Aether 50 GB. Active files count toward the limit; files in Trash do not, and are permanently deleted after 14 days.
Calendar
Connect Google Calendar in Settings → Integrations and pick one or more calendars to sync. Google events are imported into MANA, while MANA-created events push to the first calendar you selected. Edit imported events in Google Calendar. Milestone dates, invoice due dates, quotation expiry, and recurring document dates remain read-only overlays in MANA, so change those on the original project or document. See the Google Calendar guide for the full sync boundary.
AI assistant
The assistant works against your real workspace rather than a copy of it, and the model is selected automatically per task. One completed response to one of your messages is one AI Action, however many steps it took internally; an interrupted turn is not counted.
Plans differ in AI Actions per month and active projects: Free 25 actions and 1 project, Mana 120 and 10, Aether 1,100 and unlimited. Limits reset at the start of the next calendar month, UTC.
A separate, curated set of safe workspace tools is available to outside clients over MCP. See Connect MCP.
